The following guidelines are for supervisors/managers considering employee applications for flexwork agreements:

  1. Read and understand the UCSB flexwork guidelines and agreement, as well as the process employees must take to apply for a flexwork arrangement. It is the responsibility of the employee to fill out and submit the guidelines and agreement to their immediate supervisor/manager.

  2. Attend a supervisor/manager's training. This training session will take you through the program in detail, discuss your roles and responsibilities as a supervisor/manager, as well as introduce new skills you can develop to better manage employees in a flexwork environment. Contact the campus work/life department for upcoming sessions.

  3. Upon receipt of a flexwork request, check that the following elements are included:
    • Work Suitability Assessment results
    • Proposed flex schedule agreement, with detailed tasks, performance metrics and schedule
    • Confirm with the employee that they have read and understand the ergonomics and home safety guidelines (if applying for a telework arrangement)

  4. Review and discuss one of three next steps with the employee.
    • Approve the proposal as offered.
    • Collaborate with the employee to alleviate your concerns about the Work Suitability Assessment, performance or scheduling.
    • Deny their proposal based on the factors listed in the UCSB flex schedule guidelines or Work Suitability Assessment results. You are responsible for explaining the reasons for denying the flex schedule program to the employee as well as any steps that they can take to improve their ability to join a flexwork program in the future.

  5. If a request for a telework program is approved, the employee may take the Employee Suitability Assessment, a developmental tool designed to provide guidance and support around telework work skills. Though the agreement may be modified based on new insight, the assessment results are not to be used for performance evaluations, or for denying a telework arrangement. This assessment tool is optional but is recommended for employees new to telework.

  6. Submit the completed and signed agreement to the department head/designee for final approval.

  7. If the employee wishes to renew this agreement, he/she will formally request a renewal in writing. Renewal of the agreement is subject to review and approval by the employee’s supervisor/manager. Participation in a flex schedule program may be terminated at any time upon the request of the supervisor/manager, upon the request of the employee and agreement of the supervisor/manager, or with a two week notice if that is acceptable to the supervisor/manager.
